WhatsApp Business – What is it and you’re should you use it?
Every business on WhatsApp – whether it runs the free app or an enterprise messaging stack – needs a WhatsApp Business Account: the account that holds your phone number, display name, and business identity. Regular WhatsApp is for personal use only and businesses can’t use it for commercial activities, as WhatsApp’s terms prohibit using the standard app commercially. That is why WhatsApp Business exists.
It is worth noting here that WhatsApp Business isn’t one product – it’s two: the free WhatsApp Business app, built for small businesses answering chats from a phone, and the WhatsApp Business Platform (API), built for teams that need automation, integrations, and scale. Two products raise questions of which version to choose to create a well-functioning communication channel aligned with the company’s operating model.
In this guide, we’ll break down what WhatsApp Business is, how the two versions differ from each other and from personal WhatsApp, what each costs, and how to know when it’s time to upgrade.
Najważniejsze informacje w skrócie
- Personal WhatsApp is not designed for business use. Companies therefore use WhatsApp Business, available in two versions: the WhatsApp Business app and the WhatsApp Business Platform.
- The WhatsApp Business app is a free smartphone application designed for small businesses. It provides features such as a business profile, product catalog, quick replies, and manual chat management.
- The WhatsApp Business Platform (API) is designed for businesses that need to communicate with customers at scale. It supports message templates, chatbots, shared team inboxes, and integrations with call centers, CRM systems, and other business tools.
- The free app is well suited to small-scale operations. As a business grows, however, the WhatsApp Business Platform may become necessary. Typical signs that it is time to upgrade include the need for analytics and optimization, multi-user customer support, structured conversation management, processes that require access to customer data and context, or the growing burden of manually repeating routine tasks.
- Setting up a WhatsApp Business app account is relatively quick and can be done independently. Implementing the WhatsApp Business Platform, particularly when integrations and automation are required, is typically best done with the support of an experienced partner such as Comtrust.
- Meta charges businesses for messages sent via the WhatsApp Business Platform. In particular, template-based messages sent outside the 24-hour customer service window are subject to applicable messaging fees. Rates vary depending on the message category and the recipient’s country.
What is WhatsApp Business?
WhatsApp Business is Meta’s family of products for company-to-customer messaging on WhatsApp – the app 3.3 billion+ people already use. It comes in two flavors:
- The WhatsApp Business app – a free smartphone app for small businesses: business profile, catalog, quick replies, and manual chatting. Think of it as personal WhatsApp with a shopfront.
- The WhatsApp Business Platform (API) – a paid, programmatic product for businesses that message at scale: templates, chatbot WhatsApp, team inboxes, and CRM integrations, accessed through a provider rather than an app.
Customers can’t tell the difference from their side – both send ordinary WhatsApp messages. The difference is everything behind the send button.
WhatsApp Business vs. personal WhatsApp: every option compared
Simply put, if you are just answering customer chats, a standard app is enough. However, if the process involves multiple people, systems, or automation, you need something more.
Why personal WhatsApp isn’t a business tool
You can run a business on personal WhatsApp – plenty of solo operators do. But the moment business grows past one person and a phone, the gaps show:
- No business identity: Unless a customer saved your number, you’re an unknown number – no company name, no logo, no verified badge.
- No tools: No catalog, no quick replies, no labels, no auto-replies – everything is manual.
- No system connection: Customer data lives in one phone’s chat history, invisible to your CRM, your team, and your reporting.
- Against the rules: Commercial use of personal WhatsApp violates WhatsApp’s terms and risks your account.
It works until it doesn’t – usually the week messages start getting missed, duplicated, or lost.
An official business account adds the verified badge – the blue checkmark (formerly the green tick) – and displays your business name instead of a bare number, even to customers who haven’t saved your contact. Verified accounts also don’t automatically trigger the “Report” or “Block” prompts new numbers get. The result? Instant recognition, more trust, and typically better open rates.
Is WhatsApp Business free?
The WhatsApp Business app is completely free to download and use. You get a business profile, a product catalog, quick replies, greeting and away messages, and labels for organizing chats. For a one-person business handling a manageable stream of conversations from a phone, it’s genuinely enough – and it’s where most businesses sensibly start.
The WhatsApp Business Platform is paid. Since July 1, 2025, Meta charges per delivered template message, with rates that vary by message category (marketing, utility, authentication) and destination country, plus whatever your solution provider charges. Replies inside the 24-hour customer service window carry no Meta template fee. However, Meta will charge for outbound messages sent during that window.
The free app is a starting point; the platform is built for growth. The trick is recognizing when you’ve crossed from one to the other.
When does the free app stop being enough?
There’s rarely one dramatic moment. Usually your team quietly starts working around the app instead of with it. Watch for these signals:
- Multiple people need to answer customers
The app supports one phone plus up to four linked devices – and that’s usually where coordination breaks down. Two people reply to the same customer, nobody knows who said what, and there’s no conversation history or audit trail across the team.
- You’re repeating yourself manually
Auto-replies help, but the app has no workflow automation, no chatbots for common requests, and no triggered messages. When answering the same five questions eats your afternoons, that’s the signal for change.
- WhatsApp is an island
No CRM sync, no contact center integration, no marketing-tool connection – so customer context lives nowhere and reporting doesn’t exist. You can’t optimize what you can’t measure, and the app gives you nearly nothing to measure.
- Campaigns hit the ceiling
Broadcast lists cap at 256 saved contacts. If you’re planning real bulk messaging – promotions, restock alerts, seasonal campaigns – the app was never built for it.
Shared logins, spreadsheet copy-paste, “who has the phone?” – when those workarounds appear, it’s time to look at the platform.
How do you set up WhatsApp Business?
To qualify Business status, your business needs an established online presence, consistent branding, and legitimate operations – and you’ll need to be an API user or hold a Meta Verified subscription. Meta reviews your documentation; and your business system provider (BSP) like Comtrust in cooperation with Sinch can help you prepare the submission.
The WhatsApp Business app: minutes
- Download the app from the App Store or Google Play.
- Register and verify your business phone number.
- Build your profile: name, hours, location, description, catalog.
- Set up greetings, away messages, quick replies, and labels.
- Start chatting.
The WhatsApp Business Platform: a guided setup
- Choose a Business Solution Provider (BSP) like Sinch and its strategic partner Comtrust.
- Create or connect your Meta Business account and verify your business.
- Register a dedicated phone number and get your WhatsApp Business Account.
- Connect your CRM, help desk, or inbox, and submit your first message templates.
- Launch, measure, and scale.
With embedded signup through a BSP, the platform path takes minutes of guided setup rather than weeks – the provider handles the heavy lifting.
Is WhatsApp Business worth it?
The audience answer: emphatically yes. WhatsApp is the most-used messaging app in most of the world, 175 million people message a business on it every day, and customers like it: Sinch research among 2,800 global consumers found 17% prefer promotional content on messaging apps like WhatsApp on average – rising to around 30% in key WhatsApp markets like India, Mexico, and Brazil.
Before you start considering how to generate revenue through this channel or what the integration with your company’s CRM will look like, make sure to ensure the protection of customer data. Where your customer data lives, and under what agreements, differs sharply between the free app and the platform. The app syncs contacts to your phone and processes data under consumer-grade terms -something to review carefully with your privacy team if you operate under regulations like the GDPR. The platform path lets you put proper guardrails in place: data processing agreements, regional data residency options, and transport-encrypted messaging through your provider. Therefore you should choose a provider that publishes clear data processing agreements and offers data residency options in your markets.
So the real question is which version. The free app is enough while one person (or a tiny team) handles a manageable volume with no integrations. The platform earns its cost when agents multiply, automation matters, and WhatsApp needs to plug into the rest of your business system infrastructure (ERP/CRM/Contac Center/e-commerce). It’s less about company size than about complexity.

FAQ
Can I use WhatsApp Business on a computer?
Yes. WhatsApp Business allows you to communicate with customers from your computer using WhatsApp Web or the desktop application. This means you don’t need to reach for your phone every time you want to respond to a message. With the WhatsApp Business API, conversations can also be managed directly through a Contact Center platform, CRM system, or dedicated customer service dashboard.
Can I use the same phone number for WhatsApp and WhatsApp Business?
You cannot register the same phone number simultaneously with both the personal WhatsApp app and the WhatsApp Business app. However, you can transfer your number from one application to the other. For the WhatsApp Business API, certain solutions also allow the WhatsApp Business app and API platform to work together, depending on feature availability and account configuration.
Can I transfer my chat history from WhatsApp to WhatsApp Business?
When switching from the personal WhatsApp app to the WhatsApp Business app, you can transfer your chat history, provided that the necessary backup and device requirements are met. Migrating to the WhatsApp Business API works differently — existing chat history is not automatically transferred to the new customer service platform by default. It is therefore important to plan how relevant conversation data will be preserved before migration.
Do customers need WhatsApp Business to contact a company?
No. Customers can communicate with businesses using their regular, personal WhatsApp application. They do not need to install additional software or create a business account. From the customer’s perspective, the experience is just like any other WhatsApp conversation.
Can a company send WhatsApp messages to customers without their consent?
Business-initiated messaging must comply with Meta’s opt-in requirements and applicable laws, including regulations governing marketing communications and personal data protection. Customers should know which company will contact them and what types of messages they can expect to receive. They must also have the option to opt out of future communications.
Can WhatsApp Business be integrated with a company website?
Yes. Businesses can add a WhatsApp button or link to their website, allowing visitors to start a conversation directly with the company. This provides a convenient way to contact sales teams, customer support representatives, or consultants. With the WhatsApp Business API, incoming conversations can also be handled by chatbots or automatically routed to the appropriate team.
